The Erasmus+ funding is made up of various components:

  • Participation in the structured mobility programme + study place + "Erasmus+ student" status
  • Financial support in the form of a mobility grant (funded period of stay)
  • Zero Grant funding (non-funded academic stay period)

The mobility grant, i.e. the financial support, is not full funding of the stay and depends on the availability of funds, which depends on the annual budget (third-party funds) as well as

  • the number of successful nominations,
  • the distribution of nominees among the country categories,
  • the duration of the residencies and
  • the number of top ups applied for (social top up, green travel).

The funding period and the maximum funding duration of a one- or two-semester stay varies depending on the project and the approved budget.

There is usually a difference between the period of stay and the funding period, the so-called "zero grant" days.

General information on changes to a planned stay

The Göttingen International Office must be informed immediately of any changes affecting the stay (e.g. cancellation, postponement, termination). The binding deadlines and communication channels to be observed may vary depending on the call for applications. Funding recipients will find all relevant information under the relevant funding year and in the corresponding checklist (see below).

General information on the extension by one semester:

  • An extension for a further semester is only possible on condition that the contractual agreement includes places for an academic year and all parties agree to the extension.
  • An extension for a further semester is not financially supported.
  • Extensions of a stay beyond one summer semester are generally not possible.

The applicable conditions of the Erasmus+ KA 131 funding are usually published in June of each year under the heading "For Erasmus+ nominated students" (see below)

      The programme is available to all regularly enrolled students and doctoral candidates at the University of Göttingen.

    The current call for applications (see below) contains the essential information on the application process. The application and the upload of all relevant documents is done online via the Erasmus+ KA 131 Portal. Registration in the application portal has to be completed with the @stud.uni-goettingen.de address. Before submitting the application, it is strongly recommended to arrange a counselling interview with the Erasmus+ Departmental Coordinator.

    Application documents:

      In addition to filling out an online form (incl. privacy policy) the following documents (PDF format) must be uploaded:
    • Certificate of enrolment for the semester of application (winter term),
    • FlexNow Transcript of Records with percentile rank, university entrance qualification if applying in the 1st semester of an undergraduate degree programme or transcript of the Bachelor's degree if applying in the 1st Master's semester,
    • Language certificate(s). A non-exhaustive overview of possible certificates is included in the announcement. Students who indicate their native language as their first language of instruction should use the Native Speaker Template

    Application deadline for the following academic year (start winter and summer semester): 31 January

    Important note: For students of medicine, the deadline is 10 January!

    The Erasmus+ departmental coordinators will inform you of the result of the selection process. If you are accepted, you will also receive information on the first steps, such as confirmation of your acceptance of the place and notification of the selected participants to the Erasmus+ KA 131 team of Göttingen International ("nomination"). Please follow the information and deadlines provided by your faculty to ensure that everything runs smoothly.

    Successfully nominated students are registered or "nominated" by the Erasmus+ departmental coordinators at the partner university, usually between March and June. The host universities then share information on the following registration procedures.

    The Erasmus+ KA 131 team of Göttingen International will provide information on aspects of programme implementation and funding from May/June. Students who will start in the winter semester will also receive an invitation to the information sessions for nominated students at this time.

For nominated students

The programme countries are divided into three country groups with corresponding funding rates (high, medium, low cost of living).

Funding in the Academic Year 2023/24

  • The binding application for additional funding for Green Travel or Social Top up (see above "Call for proposals & general information on Erasmus+ KA 131 funding") must be submitted online by 31 May 2023. The corresponding request will be sent by email. Students starting in the summer semester can submit changes until 20 October 2023. Later applications will not be accepted.
  • The grant agreement contains the maximum funding amount for the academic period of stay. The basis for calculation is the planned academic period of stay. Only full months are funded (1 month = 30 days)
  • Changes to the planned academic start date must be reported online by 15 June 2023 (start of winter semester) or 3 November 2023 (start of summer semester). Later changes cannot be considered.
  • Changes to the planned academic stay date can be reported online via the mobility portal up to 30 days (binding deadline) before the originally planned end date (see "Changes to the duration of stay and extensions" below). Notifications by e-mail will not be accepted. An adjustment to the funding agreement will be reviewed and depends on the availability of funds.
  • One-semester stays (min. 2 to 5 months) are funded for a minimum of 60 and a maximum of 150 days.
  • Stays of 6 to 7 months can be funded for a maximum of 5 months (150 days).
  • Two-semester stays (from 8 months) are funded for 240 days.
  • Stays of 9 to 12 months can be funded for a maximum of 8 months (240 days).
  • The actual academic period of stay will be confirmed by the host institution at the end of the stay by means of the Certificate of Stay and/or the Transcript of Record.
  • Please Note: If the duration of stay confirmed by the partner institution in the Certificate of Stay (CoS) or Transcript of Records (ToR) is longer than stated in the Grant Agreement, the additional days are considered a zero-grant phase.

Examples:

The academic stay period comprises 4 months and 15 days (135 days in total). The financially supported period comprises 150 days and the zero grant portion 15 days.

The academic stay period comprises 255 days. The financially supported period comprises 240 days (8 months) and the zero grant portion 15 days.

The academic stay lasts 6 months. The financially supported period comprises 150 days (5 months) and the zero grant portion 1 month (= 30 days).

Disbursement of the grant

The financial support is paid out in two instalments (75 % / 25 %). 75 % of the maximum funding amount will be paid out at the beginning of the stay, if

  • the complete Learning Agreement has been signed (3 signatures),
  • the grant agreement and annexes have been signed by both parties,
  • the mandatory OLS language test (see also checklist) has been completed and
  • the Certificate of Arrival has been uploaded as a PDF document to the mobility portal of the Univeristy of Göttingen (no later than 4 weeks after the start of the academic stay).

The remaining 25 % of the maximum funding amount will be transferd at the end of your stay, if

  • the Certificate of Stay and the Transcript of Records have been uploaded to the mobility portal and
  • the EU Survey as well as the Experience Report (mobility portal) have been submitted online (no later than 6 weeks after the end of the academic stay).

At least 10 ECTS per semester are compulsory and must be proven by means of a transcript of records.

Changes and extensions

Göttingen International must be informed immediately of any changes concerning the academic stay.

  • If you are unable to start your stay, complete and submit the form Erasmus+ KA 131 Study visits - Cancellation or termination of a mobility in the mobility portal.
  • Please complete the form Erasmus+ KA 131 Study visits - Cancellation or termination of a mobility in the mobility portal immediately if you have to terminate a mobility that has already started. We will contact you to discuss the processing of your funding. We will also be avaibale for an individual talk.
  • Changes to the planned academic start date must be reported online by the deadline. Nominated students will receive further information by email before the planned info sessions. Changes notified after the written deadline will not be considered.
  • Changes to the planned academic end date can be reported up to 30 days (binding deadline) before the end of the originally planned end date via the mobility portal using the form Erasmus+ KA 131 Study visits - Query end date of academic stay. Notification by e-mail will not be accepted. An adjustment of the funding agreement will be reviewed and depends on the availability of funds.
  • An extension for a further semester is only possible if the contractual agreement includes places for an academic year and all parties agree to the extension. Please submit the Erasmus+ KA 131 Study Stays - Query end date of academic stay on the mobility portal up to 30 days (binding deadline) before the originally planned end of your stay. Please also read the relevant information in the corresponding checklist (see below).
  • Extensions of the stay beyond the summer semester 2024 are generally not possible.

Please note: In case of non-compliance with the deadlines and/or failure to fulfil the minimum number of ECTS and/or submission of the mandatory documents, the Göttingen International Office reserves the right to reclaim any funding already paid.

Students who will go to Bulgaria, Croatia, Czech Republic, Estonia, Hungary, Latvia, Lithuania, North Macedonia, Poland, Romania, Serbia, Slovakia, Slovenia, Turkey in winter semester 2024/25 (one semester only) are subject to the funding criteria of the Academic Year 2023/2024 (Project 2023). The monthly funding instalment also corresponds to 540 Euro.

Detailed information can be obtained from the host university and, if applicable, from your departmental coordinator. You can also find helpful information in our exchange opportunities database "Gö abroad". Registration procedures at partner universities may vary. Therefore, discuss the necessary steps for nomination and enrolment with the departmental coordinator at the receiving college or university. Nomination and enrolment are not carried out by the International Office Göttingen.

The Online Learning Agreement is your learning agreement and a mandatory document for an Erasmus+ funded stay. The learning agreement contains the courses you would like to attend abroad and the courses you would like to have recognized later in Göttingen. A complete and therefore valid Learning Agreement contains signatures of the following persons: Participant, program officer or authorized person of the home faculty and contact person at the partner university.

If you want to study for a full academic year at a partner university, you should record courses for all planned semesters in the learning agreement. If this is not possible, you will need to create a new Learning Agreement before the start of the second semester.

Please note that the fully completed Learning Agreement for Studies, signed by all parties involved, must be made available via the University of Göttingen's mobility portal as soon as possible after its creation or at the latest four weeks before the start of the semester abroad. Especially students who start their Erasmus+ stay in the winter semester should start preparing already in May/June, because due to vacation periods the process can be delayed considerably.

Please note that the use of the Online Learning Agreement is mandatory. If you have any questions or problems during the creation of the online document, please contact your Erasmus+ Departmental Coordinator. Instructions for the creation of the Online Learning Agreement can be found under "Programme Documents". The checklist (see below "Checklists & Documents") contains all information applicable for the respective academic year.

The Erasmus+ KA 131 Team of the Göttingen International Office organises English info sessions on document management and funding for nominated students in June/July and November/December. The invitation will be sent by mail. Participation is required.

Participants must confirm that they have health insurance when signing the Erasmus+ KA 131 Grant Agreement. For this purpose, the names of the insurance company and the insurance number must be provided. In addition, liability, accident (for leisure time) as well as health insurance abroad (including coverage of repatriation costs) are strongly recommended.

It is advisable to take care of sufficient insurance cover at an early stage.

The Erasmus+ KA 131 Grant Agreement is the binding funding commitment and contains all relevant information on the conditions of the Erasmus+ KA 131 funding. You will receive a copy signed by the Göttingen International Office for your documents only after submitting a complete Online Learning Agreement (see above) .

Please note: Students who have submitted a complete Online Learning Agreement via the mobility portal of the University of Göttingen by mid-June (start winter term) or mid-November (start summer term) (see above) will receive their Erasmus+ Grant Agreement from the Erasmus+ KA 131 Team during the info sessions for nominated students in June or November. If at that time only a version with the signature of the Erasmus+ participant and the Erasmus+ Departmental Coordinator is available, this preliminary version can already be submitted in the mobility portal. In this case, the Grant Agreement can be viewed and signed during the info session.

Participants in the Erasmus+ Key Action 131 programme are recommended to use the online course programme of eu|academy. This so-called "Online Language Support" (OLS) offers Erasmus+ participants various options: Self-assessment of language skills through language tests as well as participation in language courses in any number of languages. As a rule, the test is not a basis for selection and acceptance at the host university. Here you will find instructions containing information on the registration process.

Certificate of Arrival

After your arrival at the host university, please have the Certificate of Arrival issued and upload it in the mobility portal. Only after receipt of this document is the first instalment of your grant prepared for payment.

Revised Learning Agreement

You can make changes to your Learning Agreement for Studies up to 5 weeks after the start of your studies at the partner university. It is important that all parties involved at the home and host universities are informed of the changes and formally agree to them. The "Changes during the mobility" section of the Online Learning Agreement (OLA) should be used.

Certificate of Stay

During the agreed study period, you are enrolled at the host university and attend courses there. Only the period in which you are academically obligated to be on-site counts as the Erasmus+ funding period - starting with the orientation days up to the last exam. This will be confirmed by the host institution in the "Certificate of Stay" at the end of the stay.

    After your stay abroad you have to submit the Certificate of Stay, the Transcript of Records and the experience reports. Please use the Programme documents for this purpose.
